With Templates, you can enable Grain AI to write notes tailored to your use cases and preferences. In this guide, we'll show you how to create your custom template, add custom sections to existing templates, and apply the template to your meetings.
I. Creating Custom Notes Template
1. Navigate to Settings → Notes and click "Create Template".
2. Fill in a name for your template
3. Add the prebuilt sections or the custom sections you want.
To add a prebuilt section, simply click to add it to the template. You can add as many as you'd like.
To add a custom section, click "+ Add Section". Next, type in a question you’d like answered, and Grain AI will write notes that answer that question in this section. Here’s an example of a positive customer feedback section that could be added to a sales discovery call.
4. Click "Save" and see the new Template in your Custom Templates.
Once you have saved your template, add it to any meeting to get the AI notes in that particular format (more on that below).
II. Edit a Custom Notes Template
You can edit a Template to add or remove sections.
Adding a section to a Template
1. Click Edit on a Notes template.
2. Click "+ Add Section" to add a new section.
3. Enter the prompt you’d like the AI to answer in meetings.
4. Wait for the AI to test the prompt on a meeting and click "Add to Template" once you're happy with the output.
If there aren’t any meetings in your workspace, you don’t have to wait for the AI to test the prompt. Just click on "Add Section".
Optional: Test the prompt on other meetings.
Click on the meeting name at the bottom of the popup to get a list of meetings on which you can test the notes. Once you are satisfied, click on "Add Section".
7. Viola! Your custom section is added to your notes template.
Removing a section from a Template
Hover over the 'more options' and click 'Remove section' to delete the section from the Template. Please note that if you have used the same section in other Templates, they'll remain unaffected.
III. Applying Notes Template to Your Meetings
There are two ways to apply a Template to your meetings.
1. Set Your Template as the Default.
Once you've created your template, you might want to use it as your primary structure for meeting notes. To do so, you can set any template as the default for internal and external meetings.
External: Meeting with one or more participant(s) outside of your company
Internal: Meeting with only participants from your company
Select the template you want to set as the default for internal and external meetings for the entire workspace. Your new default templates will be used in all your meetings—going forward.
Note: You can override the workspace defaults templates in My Meetings settings.
2. Select Template on a Meeting-by-Meeting Basis
You can assign different templates to individual meetings. Just go to 'Today,' choose the specific meeting, and select the desired template. That's it!
For recurring meetings, all future instances will automatically use the updated template.
Updating the Template After the Meeting
Need to change the template after the meeting? No problem. Open the meeting and update the template. Grain AI will then rewrite your notes according to the new
template.
You can add, edit, and remove templates and structure them as you please. If you no longer want your default template, change it before attempting to delete it.
IV. Adding a Section to the Meeting Using Ask Anything
You can create and add sections—like pain points, sentiment, or other aspects you want to extract from a call.
Step 1: Open the meeting > Notes > Click "Ag"
Step 2: Add a prebuilt section or create your own.
To add a prebuilt section, just click the section.
If you'd like to create a custom section, type in a question you’d like the answer to, and Grain AI will write notes that answer that question in this section.
Step 3: Select the format of the desired output. Choose between "Bullet Points" or "Paragraph"
You can choose the format of the answers to align with your needs. Bullet points are a good choice for outputs that need to be: concise and specific, visually appealing, and time oriented. Paragraphs are a good choice for outputs that need to be: detailed, complex, and tell a story.
Step 4: Add the section to the meeting or both the meeting and the template.
Click '+Add Section' to include it in the meeting notes. You can also copy the answer if you're only interested in extracting and sharing insights. Here's an example of a close rate section that you can add to a sales coaching call.
