How to configure Zaps using Grain to automate your workflow

A new version of the Grain Zapier integration is now live, so you can get more out of your meeting data!

What's new

With the updated integration, you can:

  • Connect at the workspace level to send team data to your tools (admin required), or use a personal connection for your own meetings

  • Set up triggers with more control over what data is sent

  • Access transcripts and media directly

Before you get started, here's what you need to know:

New Zaps:

  • These will default to the new version when you select Grain in Zapier. You’ll need to create a new Grain connection, this is a one-time step and only takes a minute!

  • To use the new functionality with existing Zaps, you’ll need to re-add the Grain trigger.

Note: If you do nothing, your existing Zaps will continue working. We plan to deprecate the old version in September 2026.

Getting connected for the first time

Step 1: Log in to Zapier

Log into your Zapier account, or sign up for a free account here if you don’t have one.

Step 2: Set up a new Grain connection

In Zapier, go to App Connections → Add connection → Search Grain and click "Add connection"

Choose the level of access you want the Zap to pull from Grain: Personal or Workspace

  • Personal: pulls only meetings you record

  • Workspace: pulls all meetings in the workspace. You must have admin permissions to set up a workspace connection.

Your new connection will appear as “Grain 1.0.0” in your App connections.

Step 3: Create a Zap

  • Click “Create Zap”

  • Set Grain as a trigger

  • Choose the trigger event (an event that starts your Zap) from the list based on what you intend to achieve. For example, “Recording Added.”

  • Once you select the trigger event, you’ll be asked to choose your Grain account. Select the new account (v1.0.0) to pull your data from.

  • Select the data you want sent via the integration, test your Zap, and publish.

Update existing Zaps

  • Open the existing Grain Zap you want to update

  • The Grain app will have an old version number (not Grain 1.0.0)

  • In the trigger event, click “Change” on the App

  • Search for and select Grain

  • Click on the trigger event to update

  • Switch your account to the new connection (i.e. v1.0.0)

  • Configure the data you want sent and test your flow!
