How to Customize Your Workspace Settings

Everything you need to customise your workspace.

To access and customize your Workspace settings, log in and click on your profile in the upper left corner of your workspace. Then choose “Workspace Settings.”

1. General

Name

If you are creating a new workspace, name it something that will be instantly recognizable by your team. Usually, workspaces are named after a company or organization you work for.

Workspace Icon

Your company’s logo would look great here! Your Workspace Icon shows up on your Grain Recorder during Zoom meetings and Stories.

Invite link

Use this link to invite team members to join your Workspace. Anyone with the company email can join your workspace on a paid seat or as a free viewer.

Joining workspace

You can choose how people with allowed email domains can join your workspace—either by letting them join right away during sign-up or by having them send a request to the workspace admin first.

Allowed domains

Displays authorized email domains.

Auto-assign new users to team

Select which team new users should automatically join when they are added to your workspace.

If set to None, new users will not be assigned to any team by default.

Internal email domains

Here, you can include domains (including .com and .co domains) that Grain should use to differentiate internal team meetings with external customer meetings.

Company context

Help Grain understand more about your company to improve AI outputs.

Custom vocabulary

Words you want more accurately transcribed in your meetings. English only.

Meeting language default

Set one or more languages that Grain can automatically detect during your meetings to improve transcription accuracy.

Grain will still auto-detect languages, but specifying your most used ones helps ensure the best results.

Auto delete

Automatically delete meetings from your workspace after a set number of days.

You can choose how many days after creation meetings should be removed.

Optional exclusions let you:

  • Exclude internal meetings – keep internal team meetings from being deleted.

  • Exclude meetings in playlists – preserve meetings that are part of a saved playlist.

Use this setting to manage workspace storage and keep your meeting library organized.

Allow Desktop Capture

This setting controls whether members can use Desktop Capture for private note-taking. When the toggle is enabled, all workspace members have access to use Desktop Capture. When disabled, the feature is unavailable to members.

Allows non-members to save recordings shared via link to their own workspace to create clips. When disabled, non-members can only view these recordings.

Delete Workspace

Located at the very bottom. Deleting your Workspace cannot be reversed.

2. Templates

You can set a default note template for customer meetings and a separate one for team meetings.

Defaults

Admin-only template editing

When this is toggled on, only admins can access and edit workspace template settings.

Grain templates

Pre-built templates for common meeting types like sales calls, customer feedback, and partner check-ins. Each template includes structured sections to capture key information.

Custom templates

Templates you create and customize for your specific meeting types and workflows.

3. Scorecards

You can use scorecards to evaluate your team's meetings. You have the option to create or edit existing scorecards.

4. Trackers

Use trackers to track and set alerts for important meetings. They can be either words or phrases in your meeting transcripts.

5. Members

Grow Your Workspace

Invite team members to your Workspace via email invite or by copy/pasting a shareable link. The link can also be found under “General > Workspace Access.” Make sure to select the seat type (either paid or free viewer seat).

6. Billing

Current plan Details

View which Grain subscription you’re currently signed up for, how many ‘recorder seats (paid seats)’ are in your workspace, and more.

Access the information on Grain’s pricing plans, downgrade or change your plan here.
