Whether you're building an AI workflow with your meeting data, migrating to a new tool, or just want your transcripts in a format you can work with elsewhere, Grain gives you several ways to get your data out. The right option depends on how many meetings you need and what you're doing with them.

Option 1: Download a single meeting
Use this for one-off downloads when you need a specific meeting's recording or transcript.
From the 'Meetings' page:
Select the three-dot menu on any meeting card.
Select your desired download option:
Open in AI: opens your meeting data directly in ChatGPT or Claude.
Download transcript for AI: downloads a transcript with metadata for AI.
Download recording: downloads an MP4 video of your meeting.
Download transcript: downloads the plain transcript text in your desired file format.
From inside a meeting:
Open the meeting.
Click the three-dot icon in the top right.
Hover over 'Download' and select your desired download option.
Alternatively, inside a meeting, you can:
Click the drop-down next to the three-dot icon in the top right.
Select your desired download option:
Open in AI: opens your meeting data directly in ChatGPT or Claude.
Copy/Download transcript for AI: copy or download a transcript with metadata for AI.
What you can download
Recording β MP4 video file (720p)
Transcript β available in Markdown, DOCX, PDF, SRT, or VTT format
Note: Downloading the recording exports the video only. To get the transcript, select 'Download transcript' separately and choose your format.
Option 2: Bulk select and download
Use this to grab transcripts from multiple meetings at once. Bulk download is limited to 20 meetings at a time.
From the 'Meetings' page:
On your Meetings page, check the box next to any meeting to enter multi-select mode.
Select as many meetings as you want.
Choose an action from the bar that appears:
Open in AI: combines selected transcripts into a temporary link and opens them in ChatGPT or Claude for analysis.
Download: downloads a ZIP file containing Markdown transcripts for all selected meetings.
If you've already organized your meetings into a Playlist, you can download all of them without re-selecting:
Select the three dots on any Playlist.
Use the 'Open in AI' or 'Download' actions available to export your meeting data.
Note: The ZIP file contains one Markdown file per meeting. Video recordings are not included.
Option 3: Export via the Grain API
Use the API to programmatically extract transcripts and recordings.
Personal API token
Any user on Starter plan and above can generate a personal token to access meetings they have permission to view.
Go to Workspace Settings β API.
Click 'Generate personal token'.
Workspace API token (admins only)
Workspace admins on Business and Enterprise plans can generate a token with access to all meetings across the workspace.
Go to 'Workspace settings' β 'API'.
Click 'Generate workspace token'.
What you can extract:
Transcripts
MP4 recordings
Rate limit: ~300 API calls per minute.
Note: Workspace API tokens provide access to all meetings in your workspace. Only generate one if you're the admin responsible for managing workspace data.

Option 4: Use the Grain MCP
Use the Grain MCP to query and analyze your meeting data directly inside Claude, ChatGPT, or Cursor.

A workspace admin enables the Grain MCP connector for the workspace.
Each user connects their own Grain account via OAuth. Users can only access meetings they already have permission to view in Grain.
Example prompt:
Pull my 10 most recent meeting transcripts and compile them into a single summary. For each meeting, include:
- Meeting title and date
- Key decisions made
- Action items and who owns them
Then identify any themes or topics that came up across multiple meetings.
Once connected, you can ask your AI tool to pull transcripts, search meeting content, surface action items, or analyze deal data.
Note: The MCP doesn't download files, it lets your AI tool read and search meeting data interactively. Use Options 1, 2, or 3 if you need files to keep or move elsewhere. For full setup instructions, see the Official Grain MCP Server.
