Recording page

Review, edit, and act on your meeting recordings.

Open any meeting from the ‘Meetings’ page to reach the recording page. This is where you can watch the video recording, read the meeting transcript, review AI summary notes, see meeting participants, create clips, and more.

Summary

The ‘Summary’ tab is the default view when you open a recording. It contains your AI-generated notes, action items, and follow-up options.

Action items

Action items appear at the top of the ‘Summary’ tab. You can assign, reassign, delete, and copy action items directly from here. Logged-in users see their own action items first, followed by workspace members, then external participants.

Note Templates

At the bottom of the ‘Summary’ tab, you can apply or change the note template for the meeting. See Note templates for more details to create and manage templates.

Follow-up email

Grain can generate a personalized AI-drafted follow-up email based on the meeting transcript. It is distinct from recap emails, which are automatically sent to participants after every meeting; a follow-up is manually generated by you for a specific meeting when you choose to send one. You can also choose to send the meeting to HubSpot, Slack, or Salesforce.

To generate a follow-up email:

  1. Open the recording page and go to the ‘Summary’ tab.

  2. Click the paper plane icon near the top of the tab.

  3. Review and edit the generated email. Grain pre-fills a subject line, greeting, summary of key points, and next steps based on the transcript.

  4. Copy the email to paste into your email client, or send directly if your email is connected.

The email is generated from the meeting transcript and tailored to the participants. Each time you click generate, Grain produces a fresh draft.

Note: Follow-up emails are available on the Business plan only and apply to external calls only.


Video player

The video player sits at the top right of the recording page.

  • Playback speed: click the speed indicator to adjust playback speed from the dropdown.

  • Full screen: click the arrow in the bottom-right of the player to go full screen.

  • Picture-in-picture: click the double-square icon next to the full screen icon to float the video while you use other tabs.


Timeline

The ‘Timeline’ tab sits below the video. Use it to see who spoke when and for how long, and when screen sharing took place.

Speaker-specific playback: click the play button next to any speaker's name to play back only their sections of the recording. Click the forward button next to a speaker’s name to skip to the next segment. Click the ‘X’ next to a speaker’s name to return to hearing everyone on the call.


Transcript

The Transcript tab shows the full speaker-labeled transcript synced to the video. Click any line to jump to that point in the recording.

  • Speaker blocks: scroll through the transcript and review the transcript as stated by each speaker.

  • Search: use the search bar to find specific keywords in the transcript without scrolling.

  • Chapters: click the chapters icon to see a list of meeting topics. Click any chapter to jump to that point in the transcript and video.

  • Comments: click the comment icon to view inline comments and see the total comment count.

  • Copy transcript: click the copy icon to copy the full transcript to your clipboard.

  • Download and language settings: click the three-dot menu in the Transcript tab to access download options and the transcript language setting.

Note: Transcript language can only be changed once and must match the language spoken in the meeting.

Edit transcript

To correct transcription errors:

  1. Click the three-dot menu in the ‘Transcript’ tab and select ’Edit Transcript’.

  2. Click any text to edit it directly. Add, delete, or correct words as needed.

  3. Press ’Save’ to save individual edits, then click ’Done’ when finished.

Edit speaker names

For uploaded recordings where speakers are not automatically identified, you can assign or correct speaker names directly in the transcript.

  1. Click on a speaker name in the transcript.

  2. From the popup, search for an existing contact or select ’Create new contact’ and fill in a name and email.

  3. When applying an existing contact, choose:

    • Update all speaker blocks: applies the name to every instance of that speaker in the transcript

    • Update this speaker block: applies the name to only this instance

Note: Speaker label editing applies to uploaded & Desktop capture recordings only. Bot-recorded meetings use speaker identification from the meeting platform and cannot be reassigned this way.

Change the transcript language

To change the language on a specific recording after the meeting, open the recording page, go to the ’Transcript’ tab, click the three-dot menu, and select ’Change transcript language.’ See meeting language default for more information on Grain’s language detection.

Note: You can only change the language once per meeting using this method. Changing the transcript language will only work to match the language spoken in your meeting, Grain doesn’t support translation.


Manage Participants

Click the participants button in the recording header to see everyone who attended, grouped by company. Click any participant to access three actions:

  • Change Participant: reassign the speaker label to a different contact in your workspace or create a new contact if you need to add someone not already in your contacts

  • Copy Email: copy the participant's email address to your clipboard

  • View meetings: open the Meetings page filtered to all recordings that include that person


AI Transcript Action

In the top right hand corner of the recording page, you can download, copy, or open directly in Claude or ChatGPT an enriched transcript to be used directly with AI tools.

Grain's enriched AI transcript is a Markdown file that packages your full meeting transcript with metadata, participant history, and action items. The options include:

  • Open in Claude: opens Claude in a new window with a short prompt and a link to your transcript.

  • Open in ChatGPT: does the same for ChatGPT.

  • Copy Transcript for AI: copies the enriched Markdown transcript to your clipboard, ready to paste into any AI tool.

  • Download Transcript for AI: downloads the .md file directly.

Clips

The ‘Clips’ tab shows all clips created from the recording. Click any clip to jump to that moment in the video. See Clips for more on creating and sharing clips.


Private notes

The Private Notes tab is your personal notepad for the recording. Notes here are visible only to you and are included when you use AI Transcript Actions.
