Quickstart Guide

Get from sign-up to your first recorded meeting and beyond.

Grain automatically records, transcribes, and summarizes your meetings so you can focus on the conversation. This guide gets you set up quickly, with paths depending on whether you are setting up a workspace or joining one.

Set up Grain

1. Open the app

Grain works in the browser at grain.com and as a desktop app on macOS and Windows. Download the desktop app if you want Desktop capture, the bot-free recording method that works on any meeting platform. See Download Grain for more information.

2. Connect your calendar

Connect your Google or Outlook calendar so Grain can detect upcoming meetings and auto-capture them. See My Account to connect a calendar.

3. Configure auto-capture

Choose which meeting types Grain should record automatically—external, internal, or unscheduled meetings—and whether to use the Grain bot or Desktop capture. See My Meetings for auto-capture settings.

4. Join or record your first meeting

Once a calendar is connected and auto-capture is configured, Grain captures your next scheduled meeting automatically. Alternatively, you can start a manual recording directly from the ’Meetings’ page using ’+ New’.


Paths by role

Individual user

If you have joined an existing Grain workspace and want to get recording.

  1. Download Grain and connect your calendar

  2. Configure My Meetings auto-capture settings

  3. Review Bot capture and Desktop capture to choose your preferred recording method

  4. After your first meeting, see the Recording page to review your AI notes and transcript

Workspace admin

If you are setting up Grain for your team.

  1. Download Grain and connect your calendar

  2. Configure Workspace settings, including workspace name, email domains, and transcription language

  3. Invite your team from the Members page

  4. Set up Teams to control auto-share rules and recording access

  5. Configure workspace-level Note Templates and Trackers

  6. Connect integrations, like Slack, HubSpot, and Salesforce to automate post-meeting workflows

  7. Review Billing and Plans to manage seats and payment
